What if you get that LOR AFTER Applying to Residency Programs ?

Sometimes good things in life come after the time you wanted them the most, which somehow takes the fizz out of them when they come to you, nevertheless they still might have some might remaining ;-)

Likewise, it is always possible that you finally get a new Letter (or letters) of Recommendation (LOR) AFTER you already applied - for example, if your observership term got over or the recommender was out of town. etc.

Oh a question first : Does ERAS accept new LORs after you already applied ? = Yes, they do ! But that will take time for the letter to reach them by post, to get scanned and available for download the programs and finally time for the programs to see the new document and download it. Lets say at least 7 to 10 days or more

1. In case your experience was ONGOING while you applied but got the LOR later, it may worth your time to send an email (or even better to call) all programs about the availability of the new letter of recommendation. Tell them that it will be available on ERAS shortly and also mention that if they wanted, you could fax it to them (since ERAS thingie takes time as I mentioned above). Now, to be able to fax the letter, two things are automatically implied:

a. Send the original LOR to ERAS as soon as you get it - BUT make a copy of that letter before you do so for faxing

b. Obviously this can happen if you DO NOT "waive" your right to look at the LOR (an analysis of waive or not to waive LORs will be posted soon)

Now, I understand that some recommenders might insist (especially US LORs) that they will send the LOR to ERAS directly - in that case you may not be able to fax it to the programs but you can always write an email to programs to applied along with providing them with the email address or phone number of your recommender

2. In case you land an a clinical experience or a research project AFTER you applied, you might wanna still send an email to all the programs you applied along with providing them with the email address or phone number of your potential recommender.

[ Note: At this point, I would also like to point out that getting an experience would make you eligible for some more programs that you have not applied to before - so consider applying to those programs after emailing them to find out if they would consider your application.]

Psst....You might begin to understand why its a good tip to have all email addresses of programs that you applied to, to be stored in a separate file on your computer with commas separating them. So when the time comes to update programs, you merely have to copy paste that list and put them onto the BCC section when you compose that email. Other way to do so is to store them on your online email address as a group and then all you have to do is compose an email to that group!

Also, do not forget that some physicians would not mind calling up some programs personally for recommending you (depends on how your rapport builds up during your experience). This can be pretty powerful interview-fetcher if you can manage it ;-)

Thanks! Thats awesome info. I am currently rotating in a university hospital and expecting good LORs at the end but I was worried about the timing. This post was reassuring!

Hi! digidoc

I have worked as graduate assistant under a Associate professor basic science faculty in a medical school in US for one year. He is a PhD nota physician. what do you think? which LOR will be more effective a LOR from India ( from my medical school faculty) or here nonclinical professor.

Digitaldoc, MD said ... (July 24, 2007 5:58 AM) :

Answer 1: Latest is good, though old ones are accepted too (there can be genuine reasons why a latest one could not be obtained). For the 2009 match, since you will be applying sept. 2008, start collecting those LORs from July 2008 :-)

Answer 2: Thanks Medicienne !

Answer 3: Since you will be flaunting your research on your resume and your SOP, a letter from a US faculty who worked with you and knows what type of a researcher and a worker you are, will certainly carry juice for University and University affiliated programs ..and even community programs where the PD or other faculty are into publications. You are allowed upto 4 recommendations on your application per programs, why not use both ? I would keep one research prof LOR and the rest clinical guys

hi digidoc, good going man..
i was wondering that as i m getting my observership in october..so is it feassible to write that i would be doing it in october.. but for me the question is: Some one can just lie abt it and say that they failed to get one..so now they dont have observership?
So as i m getting at two different places. how good is it to write that i m going to do an obsevership or and LOR in later october.
thank you.

Digitaldoc, MD said ... (July 26, 2007 1:22 PM) :

Surely You can write that - and put a future date , so you are not lying at all :-) and in the description section mention what you "will be" doing along with providing the contact email and phone of the physician sponsor - to further add to the verity of your claim :-)

HI DD, MD!
My Supervising Doctor can write a LOR and give it to me at August 10th just right after coming back from his vacation. So it is still in time to ERAS for scanning and uploaded before sept 1st if i send my lor at August 11th,?
Thank you for helping me!

Digitaldoc, MD said ... (July 29, 2007 12:48 PM) :

The scanning and uploading of documents will not start until you pay for your first program on Sept. 1st. This year, candidates are allowed to reuse the documents that we used in 2007 - those are the only ones that will be in a scanned state before Sept 1st. So ...your documents will reach ERAS on time and will be filed up for scanning - they will be scanned and uploaded the moment you make your first payment on sept 1st - well now thats how it should work, in reality, they are always backlogged..so even if you applied on 1st..it may happen that your documents are finally scanned and uploaded by the 10th - but then again, they do the post-applying scanning on a first-come-first-serve basis, this is why you still wanna send documents early :-)

hi can a fellow at a us uni hospital also write an lor???i've been working with him for 2 months.....pls let me know .thanx. will that be more valuable for me than lor back home from sri lanka???????

Digitaldoc, MD said ... (August 18, 2007 1:36 AM) :

That LOR will be more like a peer LOR rather than a faculty / mentor / advisor LOR..may not carry much weight or credibility at all. Normally, on the fellows word, you could get an LOR from the advisor that the fellow is working himself/herself for. So check on that front.

Blogger Digitaldoc, MD said ... (October 3, 2007 12:53 PM) :

Thanks for the comments.

1. Email myeras@aamc.org to make sure the reassignment cannot be done. Send it to them anways, for use in scramble (god forbid, but just in case)

2. Email all programs you applied to saying that you have a New LOR available and give contact details and designation of the recommender. Also offer to email / fax a scanned copy.
